2. Information We Collect

Depending on how you interact with our website or application, we may collect:

  • Your name, email address and contact details.

  • Information you provide through contact forms, enquiries or requests for updates.

  • Account registration and authentication information.

  • Care information voluntarily entered into MARLISA, including daily care records, medication routines, appointments and wellbeing information.

  • Information about family members or other authorised users invited to share care records.

  • Technical information such as device details, browser information, diagnostic records and website usage data.

  • Subscription information provided by Apple, Google and authorised subscription management services.

MARLISA does not require an NHS number.

A cared-for person's date of birth may be recorded and included in a Hospital Passport to help identify the correct individual.

3. How We Use Your Information

We use personal information to:

  • Respond to enquiries and provide customer support.

  • Provide access to MARLISA and its features.

  • Manage accounts, subscriptions and family sharing.

  • Enable users to organise and record day-to-day care.

  • Provide appointment reminders and other notifications where enabled.

  • Maintain the security and reliability of our services.

4. Our Legal Basis for Processing Information

We process personal information where an appropriate lawful basis applies under UK GDPR.

Depending on the circumstances, this may include:

Contractual necessity: To provide and manage services requested by registered users.

Legitimate interests: To operate, secure and improve our services, prevent misuse and respond to business enquiries.

Legal obligations: Where processing is necessary to comply with applicable law.

Consent: Where consent is required, including certain optional marketing communications.

Health and care information relating to an identifiable individual is particularly sensitive and requires an appropriate lawful basis under Article 6 and a separate condition under Article 9 of UK GDPR.

We process such information only where the necessary legal conditions are satisfied.

5. Information About People Receiving Care

MARLISA allows authorised users to record information about someone receiving care.

Users should only provide information where they have an appropriate basis to do so and must respect the individual's privacy, dignity and wishes.

Being a family member does not automatically provide unrestricted authority to share another person's personal or health information.

Information should be accurate, relevant and limited to what is reasonably necessary for care organisation.

6. Family Sharing

MARLISA includes features allowing authorised family members and carers to share relevant care information.

Access is intended to be restricted to invited and verified users with appropriate permissions.

Members of a shared care profile may be able to view or contribute information depending on their access rights.

Users should only invite people who have a genuine reason to access the information.

An organisation funding a MARLISA subscription does not automatically receive access to a family's private care records.

7. Sharing Information With Third Parties

We may use trusted service providers to support the operation of our website and application, including:

  • Website hosting and technical infrastructure.

  • Secure databases and authentication.

  • Email communication and notifications.

  • Subscription and payment management.

  • Technical support and security monitoring.

Subscription purchases made through Apple or Google are handled through their respective payment systems, with RevenueCat supporting subscription entitlement management.

We may also disclose information where legally required or where a user chooses to share information with another person or service.

We do not sell identifiable care records to third parties.

8. Website Cookies

Our website is built using Wix and may use cookies or similar technologies to support essential website functionality, security and performance.

Optional analytics or marketing technologies will be managed in accordance with applicable consent requirements.

You can manage cookies through your browser settings and any cookie preferences made available on our website.

Disabling some cookies may affect website functionality.

9. Data Security

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, misuse, loss or disclosure.

These measures include account authentication, access controls and safeguards appropriate to the information being processed.

Although we take data protection seriously, no online system can guarantee absolute security.

Users should keep their login credentials secure and notify us if they believe their account has been compromised.

10. How Long We Keep Information

We retain personal information only for as long as necessary for the purposes for which it was collected, including providing services, maintaining security and meeting legal obligations.

When an account is deleted, information that is no longer required will be removed or anonymised, subject to applicable legal requirements and the rights of other authorised users of shared care profiles.

Some information may remain temporarily in protected backups until the relevant backup retention period expires.

11. International Data Transfers

Some technology providers may process or store personal information outside the United Kingdom.

Where applicable data protection legislation requires safeguards for international transfers, appropriate transfer mechanisms will be used.
